Procedure for New Registrations and First Orders Reports CS receives the ?Daily_New_Registrations? and ?Daily_CBU_First_Order? reports emailed to us every day for the previous day. These reports are edited, and the information is transferred to templates that are uploaded to SalesForce. 1. Open the New Registration report and insert a column to the left of Column A. 2. Open the First Usage report, copy and paste all of the contents to the bottom of the New Registration report that is opened starting with Column B so that it lines up with the New Registrations 3. Highlight the rows for both New Registrations and First Orders that contain Duplicates, Rx Value Line Accounts, 3M Accounts, Lenscrafters accounts, PearlVsion accounts, test accounts, Puerto Rico accounts, cobrand accounts or any other accounts are not supposed to be uploaded to SalesForce. 4. Highlight the rows in New Registrations that appear in First Orders so that only one account appears which should be on First Orders and will be uploaded once. 5. Save as, ?Copy of New Registrations ?date reported? 6. Send the New Registration report to Tracy, Ashley, and Brad. 7. Delete all highlighted rows from the report 8. From the New Registrations, copy the lines starting with Ref ID to the Street Address and paste to the New Registration Template. Then copy the lines containing the City, State, Zip, and Supplier to the New Registration Template, making sure the titles on the Template line up with the columns from the report. 9. Select the rest of the headings on the template and fill in the remaining fields. 10. Save this as ?SF New Registration Upload- date of new registrations? 11. From the First Orders, copy the lines starting with the Date to the Street Address and paste on the First Order Template. Then copy the lines from the First Orders, city, state, and zip and paste to the First Order Template, making sure the titles on the Template line up with the columns from the report. 12. Save as ?SF First Order Upload ? date of first orders? 13. Log into SalesForce 14. Click on the Leads tab 15. Scroll down and click on Import Leads under Tools 16. Click on Launch Wizard 17. Select Leads under Standard Objects 18. Select "Add New Records" under What Do You Want To Do? 19. Select ?None? on the Match New Leads: By dropdown 20. Select ?Segmented Customer List? on the Assign New Lead to this Source dropdown 21. Select ?Lead Queue? on the Assign All Leads Using this Assignment Rule dropdown 22. Check the box under Use Assignment Rules to Email Owners 23. Check the box to Assign all Leads to Campaigns 24. Select SalesForce ID in the Hubspot Intelligence field dropdown 25. Select ?ECP? on the Record Type dropdown 26. Click CSV and select your file to upload 27. Click Next 28. All of the fields should be automatically mapped. Check for errors then click Next if there are no errors to fix. 29. Start Import 30. An email is automatically generated confirming the report has been imported successfully. 31. Email Mitch in Marketing these two documents that were uploaded to SalesForce. **The Campaign field on the template is the number taken from the campaign. For example, if you click on the Campaign tab in SF then click on Outbound Calling ? New Registration 2016, you use the number that is in the website URL and plug that into the Campaign field on the template.
