Frames Data Assist Facts

1. IMPORTANT FACT: today, none of our labs actually receive the eye size from our site. This is not public knowledge, so just keep it to yourself to avoid confusion. So, the users will send their orders and use the new feature with no problem. Their order detail page will show the eye size, however it does not get sent to the lab. HOWEVER, on a REUSE order, when the user creates the order, the eye size will NOT populate. This may cause some users to call us. All they need to do is send the order without the eye size. Your response to them should be, ?the lab should already have the data from the original order, so you can simply send this job as it is? then of course I need to know what kind of feedback we get on these calls. They should ALL be documented in SF. 2. We will be on a distribution list to receive emails for several different kinds of errors. No need for reply or response from us unless it is directed to us. 3. Frame packages and Safety packages will not have the Frames Data Assist feature as the frames are already included in the package. 4. At this time, the only users who will have the Frames Data Assist feature will be those ordering through VisionWeb.com. No practice management integrations or Co brands include this feature. 5. The Frame Type is not included in the Frames Data Assist data, so it MUST BE SELECTED in order to complete the order on VisionWeb. 6. There is no specific indication on an XML that the FDA feature was used to create an order. An example of clues that may be seen on the XML that FDA was used is a Trademark symbol beside the Manufacturer or any measurements that include decimals. 7. Some users may use the Framesdata.com website, if so, it is important to know that the data on the framesdata.com site and our data from Frames Data Assist, may not be the same. Therefore, a user may see something on the frames data site that is not listed on our data. 8. More features, such as wholesale price and the frame image are available if user is a subscriber on Framesdata.com. 9. The frame image on VW.com is rendered from Frames Data. 10. If a frame is not listed in the Frames Data drop-down, you can enter the frame info in the Brand, Manufacturer, and other FD fields. 11. Clicking the remove button does not delete or cancel your Frames Data Account subscription with Frames Data; it simply removes the connection with Visionweb. 12. If the fields seem off centered or over lapping on your screen, you may need to resize the font on the page for items to be displayed correctly. 13. Connect your FDA to VW by entering in the FD username where it asks for your "Frames Data Account Number" after clicking on Connect Frames Data Account to Access More Features on the Spectacle Lens Ordering page. 14. The account number is different from your FD username and consists of 9 digits. 15. FDA will override the VisiOffice measurements. 16. The measurements from an uploaded Trace document will override the Frames Data measurements. 17. The order summary page will not display the FD subscriber extra features such as the frame image and wholesale price. 18. There are limitations at the lab on what data they can receive. Some examples include 20-character max for brand, no-registered-sign (®), no-letter-N-with-tilde (ñ), no-ampersand (&). The Impact of this includes: ? Order detail will display the modified data (e.g., truncated brand name, registered sign removed, ?ñ? replaced with ?n?, ?&? replaced with ?and?) ? Reuse, Redo, and 2nd Pair Orders will be populated with the modified data, not the originally selected data. ? If the data was modified in the original order, then for Reuse, Redo, and 2nd Pair Orders, the price and image will only display if the lab was configured to receive the FPC (which is not the case for most labs). 19. To find a frame, when typing in a field, the text you type will be emphasized in bold. 20. You can also use your arrow keys and page up and page down keys to navigate and select enter once you find the frame you want. 21. There are 3 different products FDA offers for a subscription, Spex UPC, FD Quarterly, and FD Quarterly DVD. The user may subscribe to any of these 3 products to obtain an account number. 22. Each color of the magnifying glass in the field represents something different. Gray-the FD catalog not loaded or what entered is not in FD catalog, Green-what is entered or selected exists in the FD catalog, and Black-indicates the FD catalog is loaded. 23. If you enter a value not listed, ?No Selection? will display. 24. Once you select the complete FD listing, the Frame Measurement button is enabled and once you click on this, the A Box, B Box, DBL, and ED fields will populate. 25. If a frame is selected that does not have frame measurements, o.oo will display in the Frame Measurement fields so then you would need to enter that information. 26. You can clear the FD info by clicking on the Reset button, which can remove the frame measurements as well. 27. SPEC UPC is an option that FD offers for subscribers that use a Practice Management Software. It is used for Frame Inventory and is not part of the Integration with VisionWeb. 28. Frames Data information is updated daily (every weekday) 29. When a FDA account is active the FDA account button displays green when connected. This is when an authorization ticket is returned from the web service. 30. If a user is going through a PMS, which do not include the FDA feature, they can still go to VW.com and use the FDA feature to obtain the Frame Measurements and enter those into their OM, Revolution, etc. Another work - around for this is to also save the order to Pending, then go to VisionWeb.com and use the feature. 31. When a user receives the error message, ?invalid zip code,? have ECP confirm billing zip code, it the billing zip code is incorrect on our end, have ECP resubmit request to add the supplier with the correct address information. 32. User may receive the error message, ?invalid account number.? After confirming the account number with FDA and it is correct, this may be due to the user not checking off or agreeing to the Terms and Conditions on the FDA website when subscribing or renewing the subscription. 33. ECP's with multiple office locations may be unable to connect their FD account using the same subscriber # for each location at this time. The user may receive the error message, ?invalid account number.? In this case, the ECP needs to contact FDA, to possibly obtain a separate license or subscription for each location in order to connect their FDA account to VW. 34. There are 2 renewal messages that may appear: a. ?Thank you for using Frames Data! Your account will expire soon. Please renew it now by visiting, etc.? When this message displays, ?will expire soon,? the account should still be active and the button will remain green. b. ?Your Frames Data account is expired, etc.? renewal message indicates the account is no longer active and the Frames Data button should display red. 35.
